This privacy policy describes how UnityBOT ("the bot") collects and processes data. UnityBOT is a private community-management bot operated by the Unity community and used exclusively on the Unity Discord server. It is not a public bot and cannot be added to other servers.
1. Data controller and contact
The bot is operated by the Unity community administration. For any questions or requests regarding your data, contact us at [email protected] or open a support ticket on the Unity Discord server.
2. What data the bot processes
Processed transiently (not stored)
- Message content in server channels is read in real time for automated moderation: word filtering, cross-channel spam detection, and removal of prohibited advertising. Normal messages are not stored by the bot.
- Profile information (such as server tags) may be checked against a list of prohibited content.
Stored data
- Moderation logs: when a message is removed or a member is warned, timed out or banned, the bot records the action, the reason, the user's Discord ID and username, and the removed content in a private staff-only log channel.
- Support tickets: messages sent in ticket channels are visible to the support team and may be archived when the ticket is closed.
- Direct messages sent to the bot: DMs sent to UnityBOT are forwarded to a private staff channel so moderators can respond. Do not send the bot information you do not want the staff team to see.
- Invite statistics: Discord user IDs, invite codes and join/leave timestamps are stored.
- Ban records: Discord user IDs and ban reasons are stored for moderation purposes.
- Application forms: answers submitted through job/role application forms are stored for the staff team to review.
The bot does not collect email addresses, IP addresses, payment information or any data outside of Discord.
3. Why the data is processed
- Keeping the community safe: automated moderation, spam and scam prevention.
- Providing member support through tickets and direct messages.
- Running community features such as invite rewards, reaction roles and leaderboards.
- Maintaining an audit trail of moderation actions.
4. Where the data is stored and who can access it
Stored data resides in the bot's own database on a private server and in private, staff-only Discord channels. Access is limited to the Unity administration and moderation team. Data is never sold or shared with third parties. Data is processed on the Discord platform and is therefore also subject to Discord's own privacy policy.
5. Data retention
Data is kept only as long as it is needed for the purposes above. Moderation and ban records are kept while they remain relevant to the safety of the community. Invite statistics and other feature data may be reset or deleted periodically.
6. Your rights
You can request access to the data the bot has stored about you, or request its deletion, by contacting us via the address above or by opening a support ticket. Moderation records may be retained where they are necessary for the continued safety of the community. Leaving the server stops all collection of new data about you.
7. Changes to this policy
This policy may be updated as the bot's features change. The latest version is always available on this page. Last updated on 11 August 2026.
